# Companies and Product licences

> Why a Railbase Suite belongs to a verified legal company.

Every Railbase Product contract is issued to one named legal company. The
company is the boundary for KYC, billing, entitlement, data authority and
renewal.

## Account and company are different

The **Account** contains people who can manage the commercial relationship. A
**company registration** identifies the legal entity that will operate a
Railbase estate and own a Suite subscription. One Account may manage more than
one company when the legal and authority relationships are documented.

## Company verification

Before purchase, Railbase verifies the company identity, destination and
applicable sanctions/export restrictions. A registration can be:

- **Pending** — evidence or review is still required;
- **Approved** — the company can buy an eligible Product;
- **Blocked** — purchase, activation and renewal are unavailable;
- **Superseded** — the historical identity remains auditable but points to the
  current company record.

Approval is not a permanent waiver. Material identity changes, sanctions-list
updates or expiry of controlled review evidence may require re-screening.

A screening-data outage is an availability incident, not a detected sanctions
match. It does not by itself cancel or revoke a current paid-period entitlement.
Railbase continues signed licence validation through a heartbeat whose rolling
window is no longer than 24 hours; a confirmed hit follows the separate
suspension and review process described in the Terms.

## Product licence

A paid Product creates one company-level entitlement containing the Product,
Basic/Pro/Max plan, release identity, term and company boundary. It supports the
complete Suite lifecycle: installation, activation, updates, plan changes,
renewal, cancellation and audit.

User roles control authorisation inside the Suite. Adding a user or changing a
role does not create a separate Suite subscription unless the published Order
explicitly uses another billing metric.

## More than one Suite

A verified company can own several Business Suites. Each Product retains its
own plan, price and renewal, while all can run on the same private Railbase
estate. Cancelling one Product does not cancel another.

## FAQ

### Can we buy before KYC is approved?

No. Checkout is available only after the selected legal company is approved.

### Can a licence be moved to another company?

Not by changing a display name. Contact support so the legal, billing, tax,
authority and audit implications can be reviewed.

### Does railbase.app store our operating data?

No. railbase.app stores the account, verification, billing, entitlement and
distribution control-plane data described in the Privacy Policy. Ordinary
Suite records stay in the customer's private estate.
