Most procurement runs on a spreadsheet and a mail thread. Requests get approved in chat, stock movements go untracked, and by month-end nobody can reconstruct who ordered what — or whether it was ever received. Railbase is a self-hosted business operating platform designed to put procurement, inventory, and operational approvals on one shared system. One binary, one Vault file for records, on your own server — lighter than ERP, more structured than spreadsheets. Module availability is shown in the public catalog as releases and pilots open.
The business modules that fit operations
- PTP (procure-to-pay) — raise requisitions and purchase orders with a real approval trail instead of forwarded emails.
- Inventory — track stock levels and goods-received movements against your POs.
- Connector — sync a vendor master (or any external data) from your existing systems and publish those events for other modules to consume.
- Core Tasks / Authority — built-in approvals and a work inbox, included in the free core. Basic operational sign-off does not need a paid add-on.
- AP and GL — when an invoice lands, AP posts it to the shared ledger over the event bus, so finance and operations see the same numbers.

One workflow, end to end
In the target workflow, a requisition raised in PTP routes through Core Tasks for approval. Once goods arrive, the receipt updates Inventory. The vendor invoice posts through AP to the GL ledger over the bus — no re-keying. And Connector keeps your vendor master in step with the external system of record. Every step is one shared record, not four disconnected copies.
Why the usual options fall short
Procurement spreadsheets have no approvals and no audit trail. Point SaaS tools each duplicate your vendor data and force you to reconcile it. Full ERP procurement is heavy, slow, and priced for enterprises. Railbase sits in the middle: integrated where it matters, light enough for a 20–500-person business, and yours to run.
What it costs
Pricing is value-based, so you pay for what fits. Operator-facing modules bill per role-seat (approvers and viewers who only look are free); Connector integration is priced on a flat or usage basis. You do not license everything at once — start with one module.

Do I need a paid module just to approve a purchase order?
No. Core Tasks / Authority ships approvals and a work inbox in the free core. You add PTP for structured requisitions and POs, not for basic sign-off.
Can Railbase pull vendor data from our current system?
Connector is the planned integration module for this flow: it syncs external data — like a vendor master — and publishes it on the event bus so PTP, Inventory, and AP all work from the same source.
Where does the data live?
On your own server. Railbase is simple self-hosting — one binary, one Vault file for records, and local storage for uploads — and works fine with your IT partner. railbase.app only handles the catalog, licenses, and signed downloads.
