THE RAILBASE PRODUCT GUIDE
Pay the supplier and reconcile the bank
Separate preparation, approval and release; settle Acme's payable only against retained execution evidence.
Updated
Continue the Acme case
The approved payable run contains Aster's $6,000 bill. Acme's opening bank balance is $20,000. No other cash movement has occurred in this exercise.
Role and prerequisites
Leo prepares the bank submission. Separate assigned people approve and release the payment in Core My work. A cash-operations specialist prepares reconciliation; its final confirmation requires independent authority. Company role, assignment, authority and supported bank evidence all remain necessary.
Follow the payment dossier
- Inspect the Treasury draft created from the approved AP run. Confirm Aster, $6,000, USD, bank account and source bill. Do not manually recreate this batch.
- The assigned approver reviews the pinned draft in Core. Leo then completes the assigned bank-submission human step with the supported bank reference and evidence. A preparation page is a durable read model; it is not the approver's queue.
- The independent releaser reviews the release dossier and bank evidence. Only the permitted execution action advances the payment. A submitted batch without confirmation is still pending.
- Reopen AP. Check that execution evidence settled the $6,000 bill and that GL confirmed the settlement: debit Supplier payables $6,000, credit Bank $6,000 under Acme's mapping.
- Import the managed statement through its supported review, open the correct reconciliation session and inspect proposed matches. Match this payment by reference and amount. Resolve owned exceptions before the authorised final confirmation.
Verify the saved result
The payable is zero, the one payment is retained and the case's bank balance is $14,000. A matched suggestion is not a confirmed reconciliation. A duplicate bank reference or replay must not release another payment. If an account or statement has no eligible options, resolve the source prerequisite; do not bypass it with a pasted identifier.
Next, invoice the customer and apply receipts. Actual bank execution depends on the configured integration; the lesson does not claim that a public demo transfers money.
