Where Your Data Lives

Your operating data sits in one file on your own server — here's exactly what that means for outages, expiries, and auditor access.

Updated

Buying software that runs your business is a trust decision. Here are the plain answers to the questions every owner asks before they commit.

Where is my data?

In one place you control. Everything Railbase persists — ledgers, documents, tasks, records — lives in a single Vault file (an embedded single-file NoSQL document store) on your own server or private cloud. There is no hidden copy on our side: railbase.app handles the catalog, licenses, and signed downloads, and never holds your operating data.

Because it's one file, a backup is simply a copy of that file. This is simple self-hosting — one binary, one file — and it works with your existing IT partner. See backups and restore for the practical routine.

What if railbase.app is down?

Your Railbase keeps running. License checks are offline: each business module carries an Ed25519 signature that your server verifies locally, so an outage on our side never stops your day-to-day work. You only need the catalog to reach us when you're making a new purchase or pulling an update — both things you choose to do, not background dependencies.

What if a subscription expires?

Your data is preserved, untouched. When a module's subscription lapses, it stays live through a grace window and then goes dormant — the module stops running, but every record it wrote stays exactly where it is in your Vault file. Paying again revives it with your data intact. Nothing is deleted, held hostage, or migrated away. Details on plans and timing live in licensing and seats.

Can auditors and viewers get read-only access?

Yes — and it's free. Viewer and auditor roles never consume a paid seat. On the Finance modules, for example, accountants and controllers are billed seats while everyone who only reads the numbers is not. So you can invite your auditor, your board, or a reviewer to look without adding cost.

FAQ

Does railbase.app ever see my business data?

No. Your operating data lives only in your Vault file on your infrastructure. We handle the marketplace catalog, license issuance, and signed artifact delivery — not your records.

If I stop paying for a module, do I lose the data it created?

No. The module goes dormant after a grace window, but its data remains in your Vault file untouched. Reactivating the subscription restores full access.

Do read-only auditors count against my licensed seats?

No. Viewer and auditor roles are always free and never consume a paid role-seat.
